Special Education Administrative Assistant Job Summary: - The Special Education Administrative Assistant provides essential support to the Department of Teaching and Learning by managing various administrative tasks, coordinating events, and ensuring efficient operations within the department. This role requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities to support the department's objectives effectively. These essential job functions involve a mix of administrative, organizational, financial, and creative tasks, all aimed at supporting the special education department and ensuring its smooth operation.
Essential Job Functions: - Administrative Support
- Event Coordination
- Financial Management
Responsibilities and Duties: - Regularly check and apply for necessary approvals and permits in MOECS
- Maintain and update the department's website content
- Book and reserve event spaces, including signing contracts and handling logistics
- Coordinate department meetings and manage multiple department calendars
- Assist consultants, directors and Community of Practice leads with professional development needs, such as preparing materials and resources, and speaker contracts and payments
- Manage department budget, purchases, reconciliations, invoicing, and payroll batching
Reports to : Assistant Superintendent of Teaching and Learning Qualifications and Skills: - Education: Associate or Bachelor Degree in Business Administration
- Experience: Background in special education or previous administrative support experience in an educational setting preferred. Experience in budget management and basic accounting practices is a plus.
- Essential skills: Strong organizational and time-management skills. Proficiency in email and scheduling software (Microsoft 365) and online tools (Google Suite). Requires excellent people skills and a genuine desire to serve and support others.
- Preferred skills: eSpace, MUNIS, MiPSE, ReadySign, Website Management, MOECS
- Certifications: Microsoft Office applications preferred.

Compensation: - Grade 14: $26.15 - $30.00+. Excellent benefits package provided.
